This international trip proposal form must be filled in and the proposal reviewed by the Students' Union before any club/society international trip can take place. Groups should not make any bookings until the SU has given final feedback that it can proceed.
The form will ask for the following, which must be completed:
- Trip leader details
- Travel and accommodation details
- Activity details
- Safety details, including a space to upload the trip risk assessment.
- Budget details
Trip leaders must ensure that all sections of the form are completed accurately and that plans and risk assessments are adhered to in full. Trip leaders have a responsibility and duty of care to ensure the safety of all participants on the trip. The risk assessment and detailed information on the trip must be shared with all participants before the trip.
All trips should have a minimum of two trip leaders who take overall responsibility for the trip.
Once the SU receive the proposal, the following process will be undertaken:
Review: The SU will check your Trip Proposal and Risk Assessment and let you know if adjustments are needed.
Approval: Do not spend money or make arrangements until you get final feedback from the Union.
After Approval: Once approved, arrange accommodation, insurance, travel, and share risk procedures with your participants.
