The Secretary of the Bangor Union Society is a central officer responsible for overseeing the organizationโs administrative, communication, and external affairs. Supported by a team of Deputy Secretaries, the Secretary ensures the society runs smoothly, remains organized, and maintains strong connections with external partners.
Key Responsibilities
Administration and Record-Keeping: The Secretary maintains accurate records of meetings, events, and official society documents. They prepare agendas, take minutes during meetings, and ensure all records are accessible to officers and members.
Supporting Governance: Working closely with the President and Vice-Presidents, the Secretary helps organize and facilitate meetings, ensuring discussions follow proper procedures and decisions are clearly documented.
Communication: The Secretary manages internal communications, keeping members informed about events, announcements, and opportunities. This may include coordinating newsletters, emails, and other messaging to maintain clear and professional communication.
External Affairs: The Secretary leads all external relations for the society. This includes liaising with university officials, other student organizations, community groups, and potential sponsors. By fostering these relationships, the Secretary helps expand opportunities, promote the societyโs work, and ensure it maintains a positive public profile.
Event Coordination: Alongside the Deputy Secretaries, the Secretary assists in planning and organizing events, ensuring logistics, documentation, and follow-ups are handled efficiently.
Supervising Deputy Secretaries: The Secretary delegates specific tasks to Deputy Secretaries, oversees their work, and provides guidance to ensure consistency, accuracy, and efficiency in administrative and external duties.
Compliance and Policy: The Secretary ensures the society meets reporting requirements and follows university policies, maintaining transparency and accountability.
Overall, the Secretary, supported by Deputy Secretaries, is the organizational backbone of the Bangor Union Society. By managing administration, communications, and external affairs, they ensure the society operates efficiently, maintains strong relationships, and continues to serve its members and the wider community effectively.
